Manager - Project Engineering

Location: Hamilton Indianapolis

This position contributes to the financial performance and reputation of Hamilton by ensuring client expectations and company commitments are met through proactive, efficient, and effective management of all exhibit construction projects.

KEY RESPONSIBILITIES:

  • Ensure that the detailing operation performs in a manner to meet drawing demands according to quality standards in an accurate, timely, and efficient manner.
  • Review speculative projects to assist with feasibility, lead times, use of materials, etc.
  • Attend and facilitate meetings as required to review and ensure that the objectives of the client and project are met.
  • Prioritize and schedule incoming detailing requests to ensure deadlines are met.
  • Establish drawing standards and practices, including requirements for accuracy, completeness, and timeliness.
  • Support the estimating function through the cultivation of vendor sources and procuring estimates from outside vendors.
  • Identify outside vendors to meet the research and development needs of the company.
  • Assist personnel in meeting goals, supervising as appropriate.
  • Prepare drawings and assist in estimating as needed and when workloads are high.
  • Respond to internal and external questions to address any issues and concerns.
  • Review completed working drawings to ensure Hamilton standards and client needs are met.
  • Assist in specifying material, hardware, electrical/lighting specifications, building techniques in accordance with customer requirements, design intent, and estimated price.
  • Keep appropriate record of materials specified for future reference and to ensure the project meets the estimate.
  • Assist in maintaining job manifest and keeping spec book up-to-date.
  • Assist with department library to ensure updated literature and brochures.

SKILLS + EXPERIENCE:

  • Candidates with a minimum of 5 years of trade show exhibit experience are preferred.
  • Management and supervisory experience required.
  • Proficiency operating CAD programs with 3D modeling experience.
  • Preferred two years of post-secondary education.
  • Demonstrates problem solving skills, math skills, and mechanical ability.
  • Must have effective interpersonal communications skills including listening, providing feedback for clarification, and negotiation.
  • Self-directed and able to prioritize in order to meet time-sensitive deadlines.
  • Is able to effectively lead and be part of a team.



Executive Assistant

Location: Hamilton Indianapolis

This is a new position within our company, so the ideal candidate will be a self-starter, proactive problem-solver with exceptional communication skills and a meticulous attention to detail. They will have previous experience working in an office environment, performing administrative duties and providing support to the CEO and Human Resources.

KEY RESPONSIBILITIES:

  • Work closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
  • Plan, coordinate and ensure the CEO's schedule is followed and respected.
  • Act as the point of contact to provide a bridge for smooth communication between the CEO's office, internal departments and external clients.
  • Set up and organize meetings, scheduling meeting rooms appropriately.
  • Arrange complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. Set up new users in company's travel website.
  • Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO and Human Resources updated.
  • Manage and maintain information flow in a timely and accurate manner.
  • Prioritize conflicting needs; handle matters promptly, proactively, and follow-through on projects to successful completion, often with deadline pressures.
  • Format information for internal and external communication, such as memos, emails, presentations, reports.
  • Take minutes during meetings.
  • Serve on the Social Committee and assist with company events and activities.
  • Provide general administrative support to Human Resources.

SKILLS + EXPERIENCE:

  • Previous experience as an Executive Assistant, Personal Assistant or similar role is required.
  • Strong interpersonal skills and the ability to build relationships employees, clients, and external partners.
  • Be adaptable to various competing demands, and demonstrate the highest level of service and response.
  • Ability to act with discretion and maintain confidentiality.
  • Ability to organize and prioritize daily responsibilities.
  • Forward-looking thinker, who actively seeks opportunities and proposes solutions.
  • Strong attention to detail, organizational and time management skills.
  • Familiarity with office machines and applications (e.g. e-calendars and copy machines).
  • Professional verbal and written communications skills.
  • Excellent MS Office knowledge.
